Document handling: User scenarios

Why waste time and money couriering, faxing or mailing a document when you can simply digitize it and instantly distribute it over a network to many people for quick and easy receipt, access, storage and edit possibilities?

How to easily store and access each job application letter and CV:
CASE:

You receive a lot of job applications with CVs on paper. Some of them could become useful for future recruitments in the office. Is there a way to easily store and access the files?

SOLUTION:
With an AXIS 70U Network Document Server attached to a scanner device, you can convert the applications and CVs into digital files. Then perform a text recognition operation using a separate Optical Character Recognition (OCR) program. In this way, the CVs will be saved as searchable text. Later, you can quickly search all CVs for a specific qualification, e.g. "French speaking".

(OCR refers to a computer process that analyzes a scanned image to find text and creates a text file for further editing. OCR software is available for office PCs in a wide range of price and with various features and quality; for example, Adobe Acrobat Capture. Most OCR software is capable of recognizing several text fonts and sizes, international characters and rotated text with a very high accuracy. Handwritten text usually presents a problem.)

How to easily share copies of employment contracts:
CASE:
All employment contracts are kept in safeguard archives. It could be useful to have copies in the HR department and also available for the relevant division managers and other staff members.

SOLUTION:
With an Axis network document server attached to a scanner device, simply scan the contracts and e-mail the copies to the relevant people in the office, as well as to the employee. The files can then be electronically archived on a server.
